Duration 6 monthsDescription Chipton-Ross is seeking a Facilities Assistant for an opportunity in San Diego, CA.RESPONSIBILITIES:
Provide support within the Facilities Services Department as required, reporting directly to the Site Facilities Manager. Support includes department office functions such as managing documentation, coordinating contractor badge requests, status updates/reporting, arranging/facilitating meetings, acting as primary POC to Procurement and Accounting departments, creating/modifying purchase orders, resolving issues with invoices, project and department budget tracking and reporting, and various process improvement projects under the direction of the Site Facilities Manager. Support also includes project and field work such as site walks to determine existing conditions, gathering requirements, coordination with Program/IT/Security, review of drawings and specifications, creating and updating project schedules, scheduling contractors, writing statements of work, and overall support of construction projects of various sizes and types.
Maintain Site Calendar - set up meetings, prepare/distribute agenda, meeting minutes, log project milestones and key contractor visits.
Maintain RC Facilities Sharecenter Folder, Shared Drive, Website, Facilities Guide, and Visitor's Guide.
Update Facility Related Documents - PowerPoint Presentations, Excel Spreadsheets, Word Documents, As-Built Documentation in PDF and hard copy formats.
Facility Procurement Support - Purchase Order creation/maintenance/tracking. Will require training and use of iBuy and SAP systems. Provide biweekly update of all open blanket PO's including POP and remaining funding levels.
Process facility related invoices and resolve invoice problems.
Provide administrative support for the vendor badging process for all facility vendors per security directives.
Track all non-Fluor facility work requests and projects. Follow-up on outstanding requests for completion. Create monthly/quarterly reports on work order metrics and performance.
Implement department process improvement initiatives.
Draft the site's Weekly Status Report.
Coordinate/Process all Facility Team Travel and Expense Reports.
Draft campus announcements (menu, brown bags, healthwaves, etc.) when needed and coordination with Publications department for distribution.
Provide support to facilities staff for Division / Sector data calls as required.
Schedule outside contractors as needed to perform small, miscellaneous projects and repairs.
Coordinate with requestors to develop project requirements, write statements of work, review proposals from contractors.
Coordinate execution of work including impacts to employees, working hours, escorts/access, project phasing, coordination with other trades and internal resources.
Must be able to work in a team environment, both to support Project Managers on medium to large sized projects, as well as on a crew or as lead coordinator on small projects and repairs.
